Hands checking rights and reviewer scope for an illustrated sample

01 / DECISION

Decide who owns each element before you distribute it

A publisher may own the finished book preview while music, stock footage, contractor narration, product photography or reviewer-supplied material remains subject to separate terms. Possessing the exported document is not the same as owning every right needed to reproduce, display or distribute it.

Practical scenario

A publishing team prepares an illustrated sample chapter for a controlled reviewer list. The illustrations were commissioned, photographs were licensed, and extract rights vary by contributor. Before producing media, the team must confirm whether reviewer copies, loaned devices and later revisions fall inside those permissions.

02 / PROCEDURE

Run a verifiable release workflow

  1. 01List the document, audio, still-image, document and software elements in the package.
  2. 02Identify the owner or written license for each element and the uses it permits.
  3. 03Define the intended reviewer organizations, roles, territories and time period.
  4. 04Separate preview permission from approval to make permanent or unrestricted copies.
  5. 05Record the approver, evidence location and conditions before release.
03 / EVIDENCE

Leave a record another coordinator can follow

Maintain a rights matrix with the asset, owner, license evidence, permitted audience, permitted acts, territory, expiry and responsible approver. Store the evidence itself in the organization’s controlled records system.

Pause and review when

  • The only evidence is that a file was previously used in a meeting.
  • A contractor invoice exists but no ownership or license language has been checked.
  • The recipient list expands beyond the approved reviewer audience.
04 / BOUNDARY

A technical restriction is not complete control

Do not promise screen-capture prevention, web DRM or support for every format/device. Test only the workflow you intend to claim, preserve unrestricted authorized masters separately, and pair technology with rights, custody, versioning and support.

05 / QUESTIONS

Resolve these before release

Does owning a copy mean the publisher owns copyright?

No. Ownership of a physical or digital copy does not by itself transfer copyright. Confirm authorship, work-for-hire terms, assignments and licenses with qualified counsel.

Can technology replace the license review?

No. A restricted package may discourage copying, but it cannot grant a right the distributor does not have.

06 / CONTINUITY

Retest the whole preview path

Repeat the documented test after any change to the illustrated sample, rights terms, PDF export, embedded media, Copy Protect release, Windows version, removable drive, reviewer device or delivery instructions. Use fictional pages and non-sensitive artwork during technical checks. Ask a second operator to follow the written procedure without verbal help, identify the approved revision, open every intended component, recognize unsupported behavior and locate the recovery owner. Record the date, operator, package identifier, device baseline, observed result and corrective action. Preserve the unrestricted authorized master separately so a failed restriction, damaged drive or forgotten password cannot become the only route to the publisher's work.
